PointData Holdings Pty Ltd and its subsidiary companies (we or us in this document) are committed to providing quality services to its clients, shareholders, employees, and this policy outlines our ongoing obligations in respect to how we manage Personal Information.

What is Personal Information and why do we collect it?

Personal Information is as the meaning given to it in the Privacy Act. In general terms it is information or an opinion that identifies an individual. Examples of Personal Information we collect include: names, addresses, email addresses, home addresses and phone numbers.

Dealing with PointData as a member of the public

PointData is a property information company and collects information about residential properties, whether occupied or not, including addresses, property characteristics and property sale and rental information.

This information is obtained from public sources such as the registry of land titles in each State, and from real estate listings. PointData does not collect information about the property owners or renters (i.e. it does not hold the names of property owners or enters, nor does it hold their email addresses or phone numbers).

Occasionally, we do avail of each State’s provision of public access to land title information. We do this to access details we do not hold, such as easements over a property. Land title purchases are normally in the course of our services to persons and organisations looking to develop properties. In these cases, we do not retain the personal details of property owners from land titles, and do not integrate this information with our property information database.

PointData does deliver several information services such as reports and databases relating to anonymous property information. In doing so, it works to comply with the requirements of government (who collect land title data based on legislation in each State) to ensure that reports and databases are only supplied to PointData clients under strict licensing terms. PointData closely restricts access to the large-scale information on property data, to ensure against improper use of the data, and to avoid any possibility that the data is matched to other sources of information. PointData deploys high levels of information security to ensure that large-scale property data is protected.

Dealing with PointData as a customer

As a client of PointData, it is a requirement that we collect a range of personal information including your name, home or work email, address, phone number and your payment details. We will not link this information to the property data described in the above section.

We ask you to supply your Personal Information through our websites, www.PointData.com.au, www.valeri.com.au, as well as through your emails, phone calls and meetings with our staff. This information is necessary for us to provide services to you on a commercial basis.

Occasionally we will complement the information you have shared with us by adding data from public sources such as your nearest city, your industry or size of business. The purpose of this is to help us to analyse and better serve our customer segments.

Your personal information will also be used for our communications and marketing purposes, unless you inform us that you would prefer not to receive marketing messages. Marketing messages will include new product information and PointData newsletters.

In circumstances where you have become an enquirer or customer of ours through a partner organisation (such as a real estate institute or State land services organisation), we will share your information with that partner organisation for financial reconciliation purposes.

We will not otherwise disclose the personal information that you have shared with us for financial gain. Please note, however, that anonymous details of the property that you own, or rent are shared for financial gain (see Dealing with PointData as a member of the public (above).

Web and Email Interaction data:

Clickstreams are the path a user takes when navigating a website and the internet. When you visit any PointData website, our server may record the following for statistical information:

  • IP address and machine name of the userLocation details, such as longitude, latitude, city, region, and country
  • Date of time of the visit to our sites
  • The top-level domain name
  • The pages accessed and any documents that may have been downloaded
  • The number of bytes transmitted and received for each request
  • The previous site or page visited
  • Search terms used
  • The type of browser used

This information is analysed to determine movement through each site so we can provide an improved customer end journey as well as ensuring resources are allocated appropriately. There will be no attempt to identify any user of our sites, except in the unlikely event of an investigation, where a law enforcement agency may exercise a warrant to inspect server logs.

Equally, information about how often and when our emails to you are opened is retained on both an aggregate and individual basis, for analytical purposes. This helps us to improve the usefulness of our communications to our clients and prospects.

Cookies

Cookies are utilised to ensure the customer journey is an optimal experience. Cookies are stored on the user’s machine, but are not an executable program, nor can they modify your machine. The server cannot determine any details about the user or their machine. Cookie information is not collected or stored by PointData or its subsidiaries.

Social Media

PointData and its subsidiaries use social media pages which are all external sites (to PointData) that are governed by privacy principles of that site. It should be noted that PointData does not endorse and is not accountable for any views expressed on the social media sites. The only information utilised from the social media channels, is for the purposes of administrating each channel. We may seek to match the information that you have given us to your social media identity, so that you can participate in forums and receive messages from us via social media.

Disclosure of Personal Information

Your Personal Information may be disclosed in several circumstances including the following:

  • Third parties such as our partners, or where you consent to the use or disclosure; and
  • Where the disclosure is required or authorised by law

PointData is an Australian organisation and operates wholly in Australia. We maintain and secure our own technology here in Australia for most of our operations including our websites and property data systems.

PointData uses cloud-based services where required for Customer Relationship Management and email delivery purposes. These systems are housed on servers in the United States. These systems may hold your personal information including name, email address, address, and phone number, as well as information on your interactions with us. These services do not hold payment information, banking details or credit card information.

Security of Personal Information

Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorised access, modification, or disclosure.

When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 7 years.

Access to your Personal Information

You may access the Personal Information we hold about you and to update and/or correct it, provided you are the subject of the data. If you wish to access your Personal Information, please contact us in writing.

PointData and associated subsidiaries will not charge any fee for your access request but, if necessary, we may charge (to be advised in advance) an administrative fee for providing a copy of your Personal Information.

To protect your Personal Information, we may require identification from you before releasing the requested information.

Maintaining the Quality of your Personal Information

It is an important to us that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete, and up to date. If you find that the information we have is not up to date or is incorrect, please advise us as soon as practicable so we can update our records and ensure we can continue to provide quality services to you.
